Terms & Conditions

Introduction

Thank you for your interest in joining an Ashtons’ Retreats experience. These Terms and Conditions govern the contractual relationship between you and Ashtons’ Retreats (“we”, “us”, “our”) when you book a retreat or participate in related services. Please read these terms carefully before booking. By making a booking, you agree to be bound by these Terms.

2. Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction over any dispute or claim.

2. Booking and Payment

(a) To secure your place, you must complete a booking form and pay a deposit (25% of the total retreat fee). Bookings are only confirmed upon our written acceptance and receipt of your deposit.

(b) The balance of the retreat fee is due no later than 6 weeks before the start date. If the balance is not received by this deadline, we reserve the right to cancel your booking and retain the deposit.

(c) If you book within 6 weeks of the retreat start date, full payment is required at the time of booking.

(d) We reserve the right to increase or decrease retreat prices before you book. Once booked, the price is fixed and will not change.

(e) Optional third-party treatments or excursions are not our responsibility and are at your own risk and cost.

4. Cancellation and Refunds

(a) You have the right to cancel your booking within 14 days of confirmation if you booked online or at a distance, provided the retreat has not commenced.

(b) After the 14-day cancellation window, payments (including deposits) are non-refundable unless we are able to re-fill your place. In such a case, a refund will be issued minus your deposit.

(c) If you cancel:

    • 0–42 days before the retreat: 100% of the retreat price is non-refundable.
    • 43 days or more before the retreat: only the deposit is non-refundable.

(d) No refunds or credits will be issued for unused portions of the retreat.

(e) Retreat bookings are non-transferable to other events or services.

5. Cancellation by Ashtons’ Retreats

(a) We reserve the right to cancel any retreat. If we do so, you will receive a full refund of all payments made. 

(b) We will not be responsible for additional costs you may incur (e.g., travel or insurance) if we cancel due to circumstances beyond our control (force majeure), including but not limited to natural disasters, war, pandemics, or acts of government.

6. Insurance and Health

(a) You must inform us of any medical conditions, allergies, injuries, or pregnancies at the time of booking and prior to each session.

(b) You are responsible for ensuring you are fit to participate. We recommend consulting a doctor before engaging in physical activities.

(c) We recommend that you obtain comprehensive travel insurance, including medical cover. We do not accept liability for illness, injury, or loss/damage to personal belongings.

(d) We reserve the right to stop your participation if we reasonably believe you are unable to continue safely.

7. Behaviour & Social Guidelines

(a) We reserve the right to remove any participant whose behaviour is disruptive, abusive, or endangers others. No refunds will be given in such cases.

(b) You must treat all guests, staff, and facilities with respect. Alcohol and drug use are prohibited. 

(c) You are liable for any damage caused by you to property or accommodation.

8. Room Share

(a) If you select a shared room and do not specify a roommate, we will assign one of the same gender.

(b) We are not responsible for any incompatibility between room sharers.

9. Risk and Liability

(a) Participation in activities (e.g., yoga, wellness treatments) is voluntary and at your own risk.

(b) Nothing in these Terms limits our liability for death or personal injury caused by our negligence or any other liability that cannot be excluded under English law.

(c) Except where required by law, we exclude all liability for loss or damage to personal property and indirect or consequential losses.

10. Photography and Data Use

(a) You may be photographed or filmed during the retreat. We may use this media for promotional purposes unless you object in writing before or during the retreat.

(b) We process personal data in accordance with our Privacy Notice, available on request or via our website.

12. Complaints

(a) If you have a complaint, you must notify us during your stay so we can resolve it. If unresolved, please write to hello@ashtonsretreats.co.uk within 14 days of the retreat ending. 

(b) We are not responsible for the behaviour of other guests or demographic compositions of groups.
